Post-conference exhibitor tear down: Sunday September 29 from 12 pm to 3 pm

Exhibitor Terms and Conditions

 

Exhibitor booths do not include:

  1. Drayage and placement of display equipment 

  2. Decoration and related services

  3. Security services

  4. Pipe and Drape

  5. Labor

  6. Storage of any exhibit-related materials

  7. Lighting and electrical power

  8. Gas or water supply

Hotel Rooms & Transportation

Last day to get discounted Marriott hotel rooms is September 16th.

Exhibitors are responsible for making and paying for their own hotel reservations and securing their own transportation. While a number of rooms have been set aside at the hotel for the registrants and exhibitors, there are occasions when the room block sells out prior to the date of the conference. Please make your hotel reservations as early as possible. Reservations made after the reservation deadline of date will be accepted on a space-available basis and may not qualify for discounted rates. Click here for details.

Exhibitor Spaces Cancellation Policy

Any HBOT 2019 Exhibitor cancellations prior to June 27th will be entitled to a 50% refund on monies paid to Hyperbaric Medicine International. No refunds after June 27th. Hyperbaric Medicine International's cancellation policy does not apply to your travel expenses, such as the hotel rooms that you book through the Marriott or other hotel room providers. You are solely responsible for any charges or cancellation fees for your hotel room and travel expenses, including transportation, food, lodging, or any other expenses related to attending HBOT 2019.

Refund Policy

The organizers of HBOT 2019, Hyperbaric Medicine International (HMI), reserve the right to refuse entry into the conference without providing a reason or justification. Under such circumstance, all monies paid would be refunded in full by the organizers. HMI's refund policy does not apply to your travel expenses, such as the hotel rooms that you book through the Marriott or other hotel room provider. You are solely responsible for any charges or cancellation fees for your travel expenses, including transportation, food, lodging, or any other expenses related to attending HBOT 2019.

Transfers and Substitutions

The exhibit space contracted for is to be used solely by the exhibiting company whose name appears on the Exhibitor Contract and it is agreed that the exhibitor will not transfer, substitute, sublet or assign any portion of the same.

Minimum Age

Unless accompanied by a parent or guardian, the minimum age for admission to HBOT 2019 is 18.

Photography & Videography

A Hyperbaric Medicine International (HMI) employee or contracted photographer and/or videographer may take photos and/or audio/video of participants and exhibitors at HBOT 2019, including on the trade show floor, and during all programs and events. These photos and videos are for HMI use only, and may appear on HMI's: live streaming conference feed, website, social media outlets, printed materials, and other promotional materials. Attendee registration and attendance grants HMI permission and consent for the use of this photography and audio/video.

Physician Payment Sunshine Act

As part of the U.S. health care reform legislation signed into law in March 2010, the Physician Payment Sunshine Act requires medical device, biologic and drug companies to publicly disclose gifts and payments made to physicians, beginning in 2013. For U.S. health care providers, companies must also report any payment or other transfer of items with a minimum value of $10 per payment or $100 per year to the Department of Health & Human Services (HHS).​
